Gathering like-minded people is an excellent step to tackle the issues facing the MDGs. Hosting a meeting can sound difficult and costly, but in fact, with enough resources, you can initiate a "meet-up" without spending a dime! It is a matter of effort and willingness.

A gathering is usually initiated to discuss a certain issue, at times it may result into an agreed project and mission, thus making it a productive and sometimes long-term teamwork. There are also other benefits that you can get in gathering a group of people, from forming your own network and knowing new friend, to learning from other's experiences and stories.

Preparation


Things you will need to do and to have for the preparation.

Think of a Theme. Basically, the theme we're aiming is the MDGs, but it is up to you on how you would like to specify the goal of this gathering unto your theme's tagline. Make it powerful and interesting. For example, instead of "MDG Forum" why not use "Cool Kids for Cool Solutions: The MDGs and Young People"

Draft an Agenda. An agenda is a list of the day's schedule. Make your agenda interesting and see to it that you are not using any words that are hard to understand. Be sure to include an "ice-breaker" scheduled halfway of the agenda, it can be a game of some sort. Click here for some examples!

Decide of a Concept. Rate your planned level of the event's ambiance. Rate wether you like it to be casual or semi-formal, free-talk or scheduled turns etc. At this conceptualizing stage, you should also make a list of the materials you may need like posters for promotion, name-tag stickers, markers and the likes.

Venue, Foods and Volunteers. In a small-scale gathering like this, it will be nice to approach your school facilitator if you can use your classroom as a venue. A "pot-lock" for the food is suggested, but the host can also provide just-enough snacks as well. In preparing the venue, a help may be needed, a friend or two will do!

Adults and Permissions. Though this is an event for Young People, it will not hurt if you include an adult or two. Children have bright ideas while the adults have the experience that can be very useful. Also consider a "return slip" to all participants, this should contain a signed permission of their attendance from their carers.



Tips for an effective Gathering


  • Welcome your guests cheerfully and make them feel at home! Let them sign an attendance sheet with their name and contact information (optional).
  • Try to follow the schedule on time. Distribute a copy of the Agenda to all attendees.
  • Start with your own message, state the purpose of the gathering and thank all the present people. Let each and everyone Introduce themselves and the power they plan to contribute to the group.
  • According to the Agenda, start the talk. Be sure that everyone are voicing their opinions.
  • Observe a calm aura. Be cool and maintain a youthful approach to everyone.
  • Now, depending on what you have talked about, ask several people what they've learned from the gathering.
  • End the forum by thanking them again and give them the information for the next gathering, if there will be.
